Merging User Profiles

The 

This article describes how to use the Merge Users option is usedtool to combine two separate user profiles into a single, primary account. This function is essential for maintaining a clean database by resolving duplicate profiles that may arise from user error, name changes, or other data discrepancies. This guide is intended for OPS-COM administrators.

 

Setup & Configuration

Before a user profile can be selected in the sameMerge personUsers tool, you must ensure it meets the following criteria within its profile settings:

  • The user account must be Enabled.

  • The user must have a User Type assigned.

If you cannot find a user when searching in the merge tool, first navigate to that user's profile to verify these two settings are correctly configured.

 

Using this Feature

The merge process involves selecting a source profile (FROM User) to merge into onea userdestination profile.profile (TO User). The FROM User will be archived, and its data will be transferred to the TO User.

The mergeMerge will delete the user record you are merging from, so be careful how you use this tool. 

Why would you use this function? You may use this function if: A person created profile in error; person gets married and changes their name; and/or the User Profile does not match the Admin created profile.

Quick Steps:Process
  1. Hover

    In the main menu, hover over  User Management and click Merge Users.

  2. Search for

    The userspage bydisplays enteringtwo identificationsearch info.

  3. sections:

    • Select users

      The profile on the left to merge intois the right.

    • Click Merge to start the process.
    • Confirm the merge on the next screen by clicking Merge again.
    • Review the confirmation at the bottom of the page after the merge completes.
Step-by-Step Instructions:
  1. Prerequisites: Ensure the usersource account is enabled. Check that thewill userbe hasmerged aand then archived (userFROM typeUser selected. If the user doesn't show up in the merge report, visit the user's profile to confirm these settings.
  2. Access the Merge Users Tool: Hover over the User Management icon. Click on Merge Users).

  3. The profile on the Searchright foris Users:the Enterdestination aaccount validthat identificationwill detailremain active (e.g., full or partialTO User).

    Use Studentthe numbersearch or Employee number)fields in both search fieldssections to locate the users.two user profiles. You can search by name, email address, student number, or employee number.

  6. Select Users to Merge: On the leftcorrect side,user selectprofile from the userssearch youresults wantin toeach merge into the user on the right side.section.

  7. Initiate the MergeClick the Merge button to begin the merge process.proceed.

  8. Confirm the Merge: A confirmation pagescreen will pop upappear, showing which user will be merged into the usernameother. toTo mergefinalize into.the Clickaction, click Merge again to finalize.again.

  9. FinalAfter Confirmation:the Theprocess screenis complete, a confirmation message will refreshappear toat the mainbottom of the page.

Data is only transferred from the What'FROM HappensUser' Afterif a Merge?:corresponding Torecord Userdoes (Rightnot Column)already exist on the 'TO User':. The usermerge profiletool does not overwrite or duplicate existing records on the rightdestination willprofile.

  • Important Notes:

    Ensure the TO User profile contains the most accurate or up-to-date information before merging.

    After the merge, you can findof the merge recordis bylogged viewingin the Completed History section on the profile of the TO User.

The following data is transferred from the FROM User to the TO User:

  • Vehicles

  • Violations

  • Permits

  • Lockers

  • Items Awaiting Payment

Warning: The merge process is irreversible and results in the permanent archival of the FROM User profile. Always double-check that you have selected the correct source and destination accounts before finalizing the merge.

Best Practices & Considerations

  • Designate the profile with the most accurate core information as the TO User (the account on the right). While transactional data is transferred, the primary profile details (name, contact information) of the TO User are what the final, merged profile will retain.

  • Use this tool to resolve common data integrity issues, such as when a user accidentally creates a second profile, changes their legal name and creates a new account, or when an admin-created profile needs to be consolidated with a user-created one.
