Module 2 - User Management

Users and their profile information form the backbone of the OPSCOMOPS-COM software. TheyThis linkmodule links all modulesother togethersystem andareas, allow you to haveproviding a complete history of everythinguser aboutactivity, thatpermits, vehicles, and financial transactions. This article is for OPS-COM administrators who need to create, manage, and communicate with user accounts.

YouAdministrators can Add, Edit and Search for Users. You can also buy Lockers and Permits and pay for Violations through the User Profile. Merge tools and bulk email filters that allow you to reach out to youradd users aremanually alsoor availablefacilitate in this module.self-registration.

WorkingUsing withthis Existing UsersFeature

You must search for Users before you can work with them. Once you have found a user you want to workaccess withtheir youaccount details. Once located, click onthe their usernameUsername in the search results. This will bring youresults to the user profile landing page. This is a quick reference dashboard ofopen the user's profile information and current user history.

    User Profile Tabs


    YouUse will notice manythe tabs located across the top of the screen. These are usedprofile to manage allspecific aspects of the User Profile. From this page you can:account:

      Manage Lockers: Purchase or manage locker assignments for thatthe Useruser.

    Merging Users and Vehicles

    TheIf you encounter duplicate profiles or data errors, use the merge tools to consolidate information:

    • Merge Users: option is used to combineCombine two profiles for the same personperson. intoThis oneis often necessary if a user profile.created You may require this function if:

      • Person createda profile in errorerror, underwent a name change, or if a manual admin-created profile duplicates a user-created one.

      • Person gets married and changes their name.
      • Person Profile does not match Admin created profile.

      The Merge Vehicles: optionCombine two vehicle records. This is usedparticularly to combine two vehicles into one. It can also be useduseful when a Vehiclevehicle haswith outstandingexisting violations andis added to a Useruser hasaccount, addedas theit vehicle (with violations) to their account. This will associate the vehicle to the User and bring along allassociates the violation history directly with that user.

    If you would like to target youraccess email tofiltering a specific group, there are many options available in the More... menu.options. You can also export the 'Consented Report' to allow you to seeidentify all users thatwho have givenopted youinto consentemail to contact them by email.communications.

    Forms Module

    If youyour haveorganization has purchased the Forms modulemodule, you can usecreate itcustom forms for user requests, such as parking exceptions or move-in/move-out coordination.

    Considerations

    • UniversityData moveIntegrity: in/moveAlways outuse the Merge tools when you identify duplicate user or vehicle records. Maintaining a single, accurate profile for each user ensures that history, violations, and permit data remain correctly linked.

    • SpecialVerification: ParkingWhen Requestsmanually adding a user, verify the User Type carefully, as this determines the parking rules and permissions that will apply to that individual.

    Administrators have the ability to create custom forms to request the information they need.
