The tool offers two primary functions which are detailed below. This feature is a standard administrative tool and doesrequires not require anyno specific configurationsetup toor use.configuration. Its functionality reliesis based on existing user and permit data.data already present within your OPS-COM environment.

Using this Feature

The Permit Switch tool provides two primary functions for managing permit assignments: swapping permits and moving permits between users.

Swapping Permits 

ThisUse this process is used to exchange permit assignments. This can beassignments between two users,users or forto movingmove one user to a different, vacant permit.

    1. Select the lot and permit number for the first permit in the Current Permit fields.

    2. Select the lot and permit number for the second permit in the New Permit Lot fields.

      • Note: Permits already assigned to other users will be highlighted and will display the owner'sname name.of the current owner.

    3. Click the Switch two permits button.

    4. On the confirmation screen, reviewReview the price difference on the confirmation screen and select either the Full Price or Prorated Price radio button.

    5. Enter a mandatory Reason for Action.

    6. Click the Switch User Permit button to finalize the swap.

Moving a Permit from One User to Another

ThisUse this process transfersto transfer ownership of a specific permit from one user to another.

    1. In the first user search field, findLocate and Select the user who currently holds the permit.permit Ausing the first user search field.

    2. Review the list of their assigned permits willthat be displayed.appears.

    3. Select the specific permit you wish to move. A second user search field will appear.

    4. In the second search field, findLocate the user who will be receiving the permit.permit in the second user search field that appears.

    5. Click the Move Permit button.

    6. Click Ok in the confirmation dialog to finalize the transfer.transfer.


Best Practices &and Considerations

  • Invoice Responsibility: Moving a permit from one user to another does not transfer any associated invoices. The original user remains responsible for any outstanding payments on their account.

  • Automatic Price Calculation: When swapping permits with different values, the system automatically calculates the price difference,difference, both at fullFull Price and proratedProrated Price rates. This difference will beis applied as a charge or credit to the user's account upon confirmation.

  • Audit Trail: Always enter a clear and concise Reason for Action when performing a switch. This creates an important audit trail that can be reviewed in the permit's history, explainingdocumenting why the administrative change was made.
