Setting Up A Lot To Be Visible and Available To The End User

This instructionarticle outlines the six critical factors that comedetermine intoa playlot's visibility and availability to end-users when creatingthey aare lotpurchasing permits in OPS-COM. Understanding and configuring these settings correctly is essential for permitOPS-COM salesadministrators to ensure that willparking determinelots ifare the lot is visible and availableaccessible to the intended user when selecting lots to purchase permits for.groups.

Setup & Configuration

QuickSystem-Wide Steps:Visibility Setting
    1. Hover over System Configuration and click on System Settings.
    2. Click on the Permits andtab.
    3. find
    4. Locate the Show Only Visible lots.lots setting. 
      • Enable Show Onlythis Visiblecheckbox Lots to only view visible lots andmarked leaveas it"Visible" disabledacross the system.
      • Disable this checkbox to view both visible and non-visible lots.lots in administrative views.

hover over Parking Management then 
Lot Administration click on Pricing & Lot Admin. This will direct you to the Lot Administration page.
  • Click on Add New Lot. Check Visible to allow users to the lot. Fill out any remaining detailsVisibility and clickUser UpdateType Lot.
  • Settings
  • Ensure the lot is not marked as Temporary Only. This setting can be found in the Temporary Permits tab when creating or editing your lot.
    1. Hover over Parking Management then, Lot Administration and click Pricing & Lot Admin
    2. Click Add New Lot (or click an existing Lot Name to edit).
    3. On the General tab:
      • Enable the Visible radio button in the Visibility to User setting.
      • In the Lot Access section, select the appropriate User Types that are allowed to see and purchase permits for this lot. Hold the Ctrl key to select multiple user types.
      • Click Update Lot.
    4. On the Temporary Permits tab:

      • Disable the This lot is for temporary parking only checkbox.
    Allocate Permits to the Lot
      • Hover over Parking Management, then Lot Administration.
      • Click Allocate.
      • Find your lot andin addthe permits.list.
      • Click Add Permits to Lot for your chosen lot.
      • Enter the quantity of permits you wish to make available.
      • Click Add Permits to save the changes.
      • Verify: Click the lot name in the Allocate screen to view the list of permits added to it.
    1. Set Up a Permit Sales Window:

      • Return to the Dashboard.
      • and hover
      • Hover over Permits.
      • then click on
      • Click Sales Windows.Windows. This will take you to the Manage Permit Sales Window page.
      • Click on Add Sale Window.
      • Fill in theall required fieldsfields, thenensuring clickthe SaveStart Changes.Date and End DateSet are set correctly and the End Date has not passed.
        • Note: Lots whose end date has passed will be located under Past Permit Sales Window and cannot be set as active.
      • Ensure the lot asis active within this sales window.
      • Click Save Changes.
    2. Test with a User:

      • Return to the Dashboard.
      • and hover
      • Hover over User Management.
      • then click
      • Click on User Registration.Registration Find or(to create a new test user.user) or User Search (to find an existing one).
      • Ensure that the usertest typeuser's User Type (e.g., Full Time Staff) matches aone typeof thatthe isuser types you allowed to seeaccess the lot.lot in Step 2.
      • Click on Login as User andfor checkyour test user.
      • On the User-Side Dashboard, navigate to Permits.
      • Check if the lot you created is available to be reserved.

    If the user type you are testing does not match the lotlot's allowed user type,types, the lot will not be visible on the user side.

    Step-by-Step Instructions:
    1. Enable or disable Show Only Visible Lots: Hover over System Configuration and click on System Settings. Click on Permits and find Show Only Visible lots. Enable Show Only Visible Lots to only view visible lots and leave it disabled to view visible and non-visible lots.

  • Enter the following information:Considerations

    • User Types:Type Alignment: SelectThe most common reason a lot isn't visible is a mismatch between the userlot's type(s)User thatTypes cansetting view your lot. Select multiple by holdingand the Ctrllogged-in key.user's actual user type. Double-check this setting carefully.
    • LotSales NameWindow Dates: Ensure your permit sales windows are always current. An expired sales window will make the lot unavailable, even if all other settings are correct.
    • Permit Allocation: A lot without allocated permits, even if visible, will not allow users to purchase permits, as there's nothing to sell. Always allocate permits after lot creation.
    • Clear Naming Conventions: Use descriptive Lot Names and Lot Short NameNames
    • Defaultthat Costclearly indicate the lot's purpose or location to users.
  • Click Update Lot to save.
  • Ensure the Lot is Not Temporary-Only: Make sure the lot is not set as Temporary Only. This setting ensures it’s available for regular users and is located in the Temporary Permits tab when creating or editing the lot.

  • Allocate Permits to the Lot: Hover over Parking Management then Lot Administration and select Allocate.

  • Add Permits: Add permits to the lot by clicking on Add Permits to Lot.
  • Confirm: Click Add Permits to save the changes.
  • Verify: Verify the allocated permits by clicking the lot name to view the list.
  • Set Up the Permit Sales Window: Hover over Permits then click on Sales Windows. This will take you to the Manage Permit Sales Window page. Click on Add Sale Window.
  • Create Sales Window: Fill in the required fields then click Save Changes. Next set the lot as active.

    Lots who's end date has passed will be located under Past Permit Sales Window and cannot be set as active. Ensure that the End date has not already passed.

  • Login as user: Hover over User Management and click on either User Registration or User Search to either create or search a test user. Click Login as a User with the appropriate User Type (e.g., Full Time Staff for lots that are visible to Full Time Staff users) to test visibility.
  • Final Check: On the User-Side Dashboard go to Permits and check that the lot can be reserved.
